Google API Disclosure

Softbooq's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We only request access to the data strictly necessary to provide the features described below. We do not sell, share, transfer, or use Google user data for advertising purposes or to train AI or machine learning models.

What Softbooq Is

Softbooq is a cloud-based ERP (Enterprise Resource Planning) platform for small and mid-sized businesses. It covers operations, finance, HR, IT management, project management, and client relations in a single workspace. The Google integrations described below extend core ERP functionality by connecting to services the organisation already uses.

Google APIs Used

Google Sign-In (Authentication)

Allows users to authenticate into Softbooq using their existing Google account. We read the user's name and email address solely to create or match their Softbooq account. No other Google data is read, stored, or processed through this scope.

Google Workspace Directory Sync (coming soon)

Coming soon: not yet available to connect. When it is, it will be used as described here. Used in the HR and IT modules. Softbooq reads the Google Workspace directory to import and sync employee records (names, email addresses, departments, job titles) into the HR module, eliminating duplicate data entry. The device scopes allow IT administrators to view managed ChromeOS and mobile devices enrolled in the organisation's Google Workspace account, surfacing device compliance status within Softbooq's IT management dashboard. Access is read-only; Softbooq does not create, modify, or delete directory entries or device records.

Google Calendar (coming soon)

Coming soon: not yet available to connect. When it is, it will be used as described here. Used in the Scheduling module. A person who connects their own Google Calendar sees their Google events next to their Softbooq schedule. Events are read from Google each time the calendar is shown, for the dates on screen, and are shown only to that person. Softbooq does not store the events; it keeps only the connection, meaning the Google account's email address and the access token. Access is read-only.

Google Drive (Softbooq Files)

Used by Softbooq Files. A person who connects their Google Drive can work with it from Softbooq Files: browse and search all of their Drive, open, preview and download files, upload new ones, create folders, rename, move, copy and delete files, see earlier versions, and see how much storage is used. Each of these happens only when the person does it. Softbooq does not scan, index or copy the Drive in the background.

The contents of a file are read only when the person opens, previews or downloads it, or chooses to add it to their workspace's AI Knowledge. A file added to AI Knowledge is copied into that workspace so Softbooq AI can answer questions from it for the people who have access to that knowledge base. It is never used to train AI models.

A workspace administrator can also connect one Google account as a shared company drive, which the workspace's members then use through Files in the same way.

Data Retention and Deletion

Google user data accessed through the above scopes is used only to provide the described features or to maintain the associated ERP records (such as synced employee profiles). Removing a Google Drive in Softbooq Files revokes Softbooq's access at Google at once, and so will disconnecting Google Calendar or the Google Workspace directory once they are available (both are coming soon). If Google cannot be reached, the drive is not removed and the person is asked to try again. Anyone can also remove Softbooq at any time at myaccount.google.com/connections. Synced data derived from Google (such as imported employee names) can be deleted by the tenant administrator from within Softbooq.

No AI or ML Training

Softbooq does not use data obtained through Google API services to develop, improve, or train generalised AI or machine learning models. Google user data is never used for advertising targeting, profiling, or any purpose beyond delivering the specific ERP features described above.
